Practice Supervisor - Financial Planning
Recruit Wealth are delighted to be representing and recruiting for one of our very best Financial Planning clients in Hertfordshire for a Practice Supervisor to work closely with the Head of Operations.
This newly created opportunity will see you manage the client services/administration team and support the day to day running of the offices whilst working closely with the senior management team.
The role and responsibilities are detailed below:
Supervisory:
- Subject expert for all administration queries
- Assisting staff with ad-hoc questions
- Assisting with client work when necessary
- Produce various monthly reports for leadership team
- Ensure pipeline is monitored and chased via the admin team
- Monitor work produced by admin team and feedback where necessary
- Collaborate with financial planners to provide seamless client support
- Drive continuous improvement initiatives within the team and implement efficient administrative processes.
- Be the main point of contact for key providers and keep up to date with any changes to communicate to the team.
- Ensure client files, documents are stored and kept in a compliant manner and meet Data Protection legislation & FCA regulations.
- To help deliver and assist with ad-hoc projects for some of the central business functions and processes.
- Coordinate Training for admin
- Monitor and where necessary create and implement systems and processes
- Induction and training for new starters
- Run monthly Admin team meeting.
- Assist Head of Operations with recruitment of admin staff
- Carry out regular 1:1 meeting with admin team as well as 6 monthly and annual objective reviews for all Admin staff.
Office/General:
- Act as system administrator for the Intelligent office system including the client portal
- Creating and maintaining documents in Intelligent Office system
- Coordinate & maintain supplies for the office
- Facilities management
- Organise client gifts where requested
- Help to organise social events when necessary
- Coordinate IT/phones and deal with any staff issues and liaise with external IT & telephone providers.
- Carry out a full IT/office environment assessment for all new starters and order new equipment where necessary
Administration:
- Maintain Client information on Intelliflo
- Maintain providers/suppliers contact details
- Update client information on Platforms & with Providers
Skills, Knowledge and Experience:
- Experience in a supervisory role advantageous or senior client services/IFA/financial planning administration background
- Intelligent office knowledge is highly desirable
- Strong organisational and communication skills
- A commitment to delivering excellent client service
- Good Microsoft skills
- Polite and courteous
- Energy, enthusiasm and drive
- Highly organised
- Honest and ethical approach to business
- Good people skills
